Admin Assistant
RESPONSIBILITIES
- Monitoring employee attendance and prepares timesheets daily time report every payday cut off;
- Implementing the employee handbook and disciplinary procedures such as the issuance of memorandum and incident report;
- Checking emails from time to time, organizing and maintaining files of employee records.
- Filtering candidates for open positions; handling internship application; manages job posting and updating applicant’s manpower pooling records.
- Managing an extremely active calendar of appointments; completing expense reports; doing presentations; composing and preparing correspondence that is sometimes confidential
- Handles the Petty Cash Fund and ensures the availability of the same at all times.
- Deposits checks issued by clients and make the payment of the company utilities.
- Taking and transcribing minutes of meetings
- Serves as a phone operator by answering the telephone in a friendly manner and provide assistance to the caller or transfer to the designated personnel.
- The applicant and intern recruitment
- The orientation of new employees / OJT
- Safekeeping/updating of 201 file
- Safekeeping of OT/VL/SL forms
- Record and monitor company expenses
- Dealing w/ accountant’s liaison
- Scanning of company receipts every end of the month
REQUIREMENTS
- Bachelor’s degree in Human Resources, Psychology, Business Administration or any related field.
- Working experience in HR Administrative function is an advantage.
- Effective verbal and written communication skills.
- Excellent administrative writing and reporting skills.
- Ability to effectively use computer software including Word, Excel and HR software.
- Great interpersonal skills.
- Has initiative.
- Effective in exercising discretion and ability to exhibit a high level of confidentiality.
